Scope Management Plan

Question: Write an essay on Scope Management Plan. Answer: Willow Brook School, a private educational institution, located at Midewest Uinted States was established long back and is a reputed school offering quality education at middle and junir level. There are some of the operational problems that have emerged in past few days. With increase in the name, there has been a rapid increase in the number of admissions and applications as well. At the present scenario, the institute relies on manual processing of worksheets and documents which is difficult to achieve owing to increase in the student data. The tasks such as copying and inputting of the data are not easy to manage leading to increased possibility of errors. In order to maintain the reputation and for the effective management of data and services, it is necessary to have an updated Information System in place capable of integrating all of the IT facilities. The information system that is demanded by the school needs to be a cost-effective solution catering all the specifications an d requirements. Requirements The following requirements have been suggested for the school to have the correct handling of the student data: Students will be provided with iPads to avoid the carrying and maintainenance required with the notebooks. The reputation that the institute holds in the state will be maintained by having an updated system in place providing excellent services. There will also be an option provided for the purchase of artefacts along with the toys that are manufactured. Accurate analysis of student reports and progress reports would be enabled for the teachers and would provide them an ability to track the real-time progress. It would also aid the administration in the easy execution and carrying out of the examinations and self-assessments. There would also be an easy option for customized assessments. Maintenance of the information would also come easy with the IS. Administrative operations would be easily handled by the IS. In-Scope Items New and improved hardware for the implementation of IS Provide the trainings and user manuals to the teachers and administrative staff Migration of data from legacy to updated systems Out-Scope Items Cost associated with the software and hardware Tender process involved in choosing the vendor and supplier. Project funds that need to be suggested and laid out by the school Acceptance Standards Paperwork, endorsement and execution of planned processes of the latest method to be created. Quick response time of the system such that the response is completed in no more than two seconds of data-feeding. A couple of training programs for the investors involved with the updated system. Mind-map has to be created and forwarded with paperwork Gp-live of the project schedule in no more than 90 days Performance report covering every detail to be submitted Deadlines to be met Stage-wise planning and implementation Deliverables Main deliverables of this task are: Project plan to be submitted by the Project Manager Requirements and specifications to be gathered and managed by the Project Managed Job description along with the roles and responsibilities by the Project Manager Daily, weekly and monthly status reports for every phase Detailed and accurate creation and distribution of the minutes of the meetings Analysis of all the tools used during the project Constraints Basic apprehensions related to this project are: Budget: The defined budget that has been suggested by the management is $80,000 and any functionality going beyong this amount needs to be separately handled and approved. Schedule: 90 days have been allotted for the completion of the project and inability to maintain the same would be required to be handled. Resouces: The current workforce would not suffice the demands and needs of the project and trained professionals would be required to be hired. Project Expectations Major assumptions of this project are: Budget-related actions would not be covered in this range 4 working days at the maximum would be assigned for the sign-offs Funds are allocated as per the project demands Work would proceed at a decent speed with the aid of trained resources Change Request Form As per (Field, Keller, 1998), the change requests which do not include any major changes would not have to be approved by the project owner. Change requests which involve change in budget and cost would be handled by the project sponsor and the ones that would involved allocation and de-allocation of resources would be managed by project manager. Work Breakdown Structure Gantt chart RACI matrix Resource histogram The system analyst is being utilized for maximum effort which is coming out to be 264 hours. SMEA and project_team_member_2 are the ones that are not being used at all. Resource over-allocation MS Project has been used for the mitigation of over-loading of the resources. Resource-levelling option has been used without addition of any further resources. Without resource levelling option, the duration is of 73 days and with resource levelling duration gets extended to 76 days Time-phased budget Without contingency, $58320 comes out as the total labor cost. Keeping the 20% in consideration, the cost increases to $69984. Constraints of the project: An effort of 8 hours is to be devoted by every resource and inability to maintain the same would be covered by another resource at the same cost. Reserves would be utilized to manage the additional cost of hardware that may come up in the project lifecycle. Industry experts and the management would come to rescue to advice on how to deal with the additional costs. Conclusion The techniques and processes that are defined in the Project Management and associated activities would be utilized in the design and development of the proposed system. The Gantt chart has been developed along with the cost estimation to understand the budget and time constraints involved with the project. The same would be of great aid in knowing the progress of the report. There are a number of risks that are associated with the project such as cost and time risks along with the risk of project ending before the due deadline. References Anbari, F.
